Advertising/Marketing

The Center for Student Involvement provides many free opportunities and resources to advertise and market your club. With one submission, ProGO! allows clubs to advertise in multiple electronic marketing outlets (including Note-a-Bull news, MSC digital screens, and multiple event calendars). Advisors

All student organizations are required to have an advisor. The advisor must be a current full-time faculty or staff member or a graduate assistant at the USF Tampa campus with a valid USF email address and NetID. The Center for Student Involvement is available to help you in connecting with potential faculty or staff advisors for your organization.

Athletic Training

As a licensed athletic trainer, our Athletic Trainer Graduate Assistant specializes in the prevention, examination and diagnosis, treatment, and rehabilitation of acute, subacute, and chronic musculoskeletal conditions found in the physically active population. Our Athletic Trainer Graduate Assistant collaborates closely with the USF Health Physicians in order to provide the best in diagnostic techniques.

The assessment, treatment (including taping), and rehabilitation of athletic injuries can be completed during the Athletic Training Graduate Assistant's office hours in REC 003. The Athletic Training Graduate Assistant also provides on-the-field medical coverage of practices and games for high risk sports.

Center for Student Involvement

The Center for Student Involvement strives to provide a purposeful and positive out-of-class experience for USF students and student organizations. Community Service

Sport Clubs can earn Bonus Points by participating in community service projects. Clubs must have at least 10% of their members participate, and points are awarded per hour the club volunteers. Please see below for more information on points and recording hours. Don't forget to record your individual hours with the Center for Leadership and Civic Engagement for your co-curricular transcript!

Constitutions

A constitution provides the guidelines under which an organization will operate. The constitution defines the long-term purposes and structure of your organization. It should only be changed by amendment, approved first by a quorum of your organizations membership, and secondly reviewed by the Center for Student Involvement. Discipline

Sport clubs function as part of the University of South Florida campus community and are representative of the University.  Consequently, both the collective organization and the individual members are expected to uphold a high level of conduct. The parameters of acceptable behavior have been established by the governing bodies of each individual sport, the Campus Recreation Department, Center for Student Involvement, Student Government, Office of Student Rights and Responsibilities, and the University of South Florida. 

Club presidents need to be aware of these expectations and ensure their members adhere to all policies and procedures.  Clubs or individual members who fail to follow the policies and procedures set forth by these documents, or to conduct themselves in an appropriate manner, will be sanctioned.

Equipment Checkout/Storage/Inventory

All equipment purchased in whole or in part with A&S fees becomes property of the University of South Florida, and must be checked out, stored, and inventoried with the University. Excuses Letters

Occasionally sport club athletes miss class as a result of traveling to club events. If a professor requires an excuse letter, the Sport Club Office can provide one for you. NOTE: This excuse letter is for information purposes only, and does not guarantee that your professor will agree to allow you to miss class and/or reschedule assignments or tests.

Facility Reservations

Sport Clubs are allowed to reserve facilities through Campus Recreation and the Marshall Student Center for practices, events, or meetings. For more information, please see the policies below. To request Campus Recreation facilities for an event, please submit the Sport Club Facility Request form below and turn it into the Sport Club Graduate Assistant.

Funding

Fundraising

Funds which are generated by student organizations, not using A&S fees, can be placed in off-campus accounts. Student organizations cannot fundraise using A&S fees. Always be aware that your organization is using the USF name, and funds should be managed appropriately. Monies generated must be in compliance with all federal, state, and local laws, USF, and A&S policies, regulations, and guidelines.

Hosting an Event

All events hosted by Sport Clubs, whether on campus or off campus, must be approved by the Sport Clubs Office as the sponsoring and responsible University department. 

Hosting an event, game, match, seminar, or tournament is one of the most popular functions of any Sport Club. However, there are a number of policies and procedures that must be followed to ensure that all events meet University standards. The best way to insure compliance and quality is to stay in contact with the Sport Clubs Coordinator and/or Graduate Assistant throughout the planning, implementation, and evaluation phases.

How to Join a Sport Club

All Sport Clubs are student organizations, and are thus created and managed by students. Because every club is different, you will need to send an email to the contact listed on a club's page for more information and how to join. You can also look at the Practice Calendar for information about club practices.

Injuries/Incidents

A Sport Club Incident Report must be filled out by anyone who is injured during a game and/or practice. This form is available below. The form must also be filled out by visiting team members if they are injured during the course of play. The form then must be filed in the Sport Clubs Office as soon as possible after the incident occurs.

Involvement

Clubs can receive 1-10 bonus points for every involvement opportunity they participate in, up to a maximum of 50 points for the year. Involvement events are those in which your club promotes itself to the campus community. Points will be awarded based on the amount of effort needed to participate, with events organized by the club receiving the most points. See below for more information.

Logos

USF has registered its names, initials, logos, and trademarks as a means of protecting them from unauthorized use and abuse. Permission is required before they may be reproduced. The use of the University’s marks on a website or t-shirt is also protected by federal trademark laws.

Monthly Reports

The Monthly Report should be used to track all club-sponsored events and activities. This form is meant to be a snapshot of your club's activities - you will still need to fill out additional forms to provide more in-depth information and to receive Bonus Points on your Report Card.

Officers

For information on officer requirements, terms, elections, etc. please see the policies below. It is important to keep your officer information up-to-date with the Sport Club Office and the Center for Student Involvement. To add or change officer information, please submit a Sport Club Officer/Advisor/Coach Update Form to the Sport Clubs Office BEFORE the officer begins his/her involvement with the club. Additionally, the officer will need to be updated on Blackboard for the Center for Student Involvement.

Report Card

While we continue to add clubs to the Sport Clubs Council, the resources available to support them are not increasing at the same pace. As a result, a points system has been created that will rank clubs based on factors such as: Administrative Compliance, Activity Level, and Involvement. Each club will earn a "grade", which will determine the level of access to resources the club can expect to receive. The higher the grade a club earns the higher priority the club receives for resources such as facilities, funding, advertising, etc. Additionally, this system will allow the Sport Clubs Office to deactivate clubs that are consistently underperforming (and thus free up the resources they were occupying).

Sport Club Council (SCC)

The Sport Clubs Council (SCC) is a student organization that works in conjunction with the Sport Clubs Office to administer the Sport Clubs Program.  Each sport club at USF is a member of the Sport Clubs Council.  Please see below for more information. Sport Club Handbook

The Sport Club Handbook contains policies and guidelines to be followed by all clubs affiliated with the University of South Florida Sport Clubs Council. This handbook should be used as a resource for all questions regarding conducting club business. Sport Clubs are subject to discipline and even suspension and deactivation from the Sport Clubs Council for not following the rules and regulations set forth in this handbook.

Sport Club Office

The Sport Clubs Coordinator and Sport Clubs Graduate Assistant are responsible for the administration of the Sport Clubs Program. Sport Clubs Supervisors are student employees of the Sport Clubs Program who are collectively assigned to every club within the Sport Clubs Council. Your club's assigned Supervisor will be your primary contact for the Sport Clubs Program. Supervisors may also be visible at practices, games, and other club events.

Travel

Sport Clubs must submit travel paperwork before leaving on a trip (5 business days prior for Non-Funded Travel; 10 business days prior for Funded Travel).  Sport Clubs must submit travel paperwork for risk management reasons. Once travel paperwork is received, the Sport Club Office can post your event on the Away Events Calendar. Please see the policies and forms below for more information.

USF Foundation

If individuals/companies wish to receive a tax deduction for their donation/sponsorship to your club, it must be processed through the USF Foundation. These donations/sponsorships must follow the guidelines below. Please contact the A&S Business Office if you have any questions.

Waivers/Member Registration

All sport club participants are required to fill out a Sport Club Acknowledgement of Risk and Waiver of Liability once per academic year to become a member of a sport club. Individuals will be able to access and complete the waiver when they confirm their membership in your club via Blackboard. Anyone who has confirmed their membership in your organization has agreed to the waiver and can be listed as a “member”.

Anyone participating with your club that is not a club member will now need to fill out a Sport Club Practice/Event Waiver or Sport Club Visitor Waiver each time they participate with the club. Please read below for more specific information on each requirement.
