2005 OUTSTANDING STAFF NOMINATION TIME
This is the
time of year where we ask that you give serious
consideration to nominating an employee who exemplifies
USF’s vision and values, and Standards of Service. This is
the highest award given to staff by the University. All
USPS and A&P employees who have one year of continuous
service qualify for nomination. You may locate the
nomination form on-line at
http://usfweb2.usf.edu/HR/Recruitment/osa.htm or contact
Human Resources.
All nominations must be submitted to the
nominee’s dean/director no later than February 20, 2006. The
award ceremony is scheduled on May 16, 2005 at 2:00 p.m. in
Theatre I. It is an honor to be nominated, and we hope
that you will take this opportunity to recognize and
nominate an individual or individuals who you believe
demonstrates excellence, commitment, and exceptional
contributions to our organization. All nominees will receive
copies of the nomination and supporting letters and the
winners receive $500 (after taxes), an engraved award and an
invitation to be honored at the award ceremony held in the
spring.

LEAVE BALANCES AVAILABLE IN GEMS SELF SERVICE
Employees may now view their leave balances
in GEMS Self Service by clicking on:
https://gems.fastmail.usf.edu/psp/gemspro/EMPLOYEE/HRMS/h/?tab=DEFAULT. Enjoy the convenience of viewing detailed information on
your paycheck as well as your leave balances in one
location!
The balances reflect leave that has been
taken and posted; however, it will not reflect any leave
pending or approved but not yet taken or posted. This is a
great tool that enables employees to view their leave
balances whenever they would like from the convenience of a
computer.

If you experience any problems logging in to
GEMS Self Service, please report the problem to IT at
Helpdesk@admin.usf.edu.

NEW ALT TRAINING
AVAILABLE FOR
EMPLOYEES
HR is announcing newly developed “hands-on”
lab style training that will enable employees to strengthen
and reinforce their knowledge and usage of ALT.
Lab style training guides employees through
the system, and allows them to actually request leave in a
step by step process. The small class environment is a
comfortable setting that encourages employees to ask
pertinent questions, and work through various leave
scenarios. Through this new training, employees will acquire
a greater understanding of the ALT system and the processes
involved.
Initially, two sessions are being offered:
December 12, 2005, and January 17, 2006.

The
Flexible Spending
Accounts Program (FSA)
allows you to set aside
a portion of your income
to pay for un-reimbursed
health and dependent
care expenses. You can
pledge an annual
contribution amount and
have pre-tax dollars
taken out on a bi-weekly
basis for qualified
medical expenses not
covered by your medical
insurance; or to use for
day care services or
in-home care.
The Medical Reimbursement
Account may be used
for qualified medical
expenses such as
co-payments, eyeglasses,
orthodontia and many
over the counter items.
A “Letter of Medical
Need” may be required to
be submitted along with
your Reimbursement
Request if the expense
can be provided for both
a medical purpose and a
cosmetic purpose (such
as orthodontia type
services).
The Dependent Care
Reimbursement Account
may be used for day care
services, in-home care,
nursery and pre-school
and summer day camps.

SPOTLIGHT ON HR
PROCEDURES
With the
implementation
of the Automated
Leave Tracking
System (ALT), it
may be
beneficial to
review helpful
information on
two important
Attendance &
Leave policies.
USPS- EXEMPT AND
NON-EXEMPT
STATUS
All positions at
USF are
designated as
Exempt or
Non-Exempt
according to the
Fair Labor
Standards Act (FLSA).
This designation
is used to
determine
whether a
position is
eligible to earn
overtime
compensation or
not. All
Faculty and A &
P positions are
currently
designated as
Exempt and
therefore do not
earn overtime
compensation.
USPS positions
can be
designated as
Exempt or
Non-exempt
depending on the
particular jobs
that are
performed.
Non-exempt
employees get
paid at a time
and a half rate
for hours worked
over 40 in a
workweek.
Exempt USPS
employees are
not entitled to
overtime pay.
However, if an
exempt USPS
employee works
over 40 hours in
a workweek, the
employee earns
compensatory
time (comp
time), a special
category of
leave, at an
hour for hour
rate.
If an employee
experiences a
position
classification
change from
exempt status to
non-exempt
status, or from
non-exempt to
exempt status,
this means that
a leave plan
change is made
to the
employee’s leave
record. In
addition, it may
result in a
payout by the
department to
the employee for
any unused
overtime
compensation.

Beginning on
November 1st., all USF employees will be able to enroll
in GEMS user training labs with a new page in
self-service. The page is located at
Home>Employee Self Service>Training and
Development>Request Training Enrollment
and will let you search for open courses by course name,
location and number. Employees will also have the
option of being placed automatically on a wait list if
the course is full. As before, all courses completed by
the employee will be listed on the Training Summary,
also in self-service. Detailed instructions on using
this new page are located online at
http://www.usf.edu/hris/self_service/Training_Registration.pdf.
Non-USF employees will still need to register by email
at
Hrtrain@admin.usf.edu.
Effective November 1st, employees have a new and easier
way to print a copy of their pay stub when needed from
self-service. The new Printer Friendly Pay Stub button
is on the View Paycheck page in self-service, located at
Home>Employee Self Service>Payroll and Compensation>View
Paycheck. This button will open a new page without the
header and side menu to make printing a stub easier.

USF Organization Development and Training has moved to GEMS for course registration. Beginning with our Spring 2006 Workshops, enrollment for ODT courses will be handled through GEMS Self-Service, as will enrollment for FAST training, GEMS Training, Diversity Training and HR Business Process Training.
The Spring 2006 brochure will be distributed in January. The course descriptions are available online now at the ODT website, and are available for registration. There are several new workshop offerings, including a four course series on Tools for Trainers, Giving and Receiving Feedback, a leadership workshop based on the Myers-Briggs Type Indicator, and two new customer service offerings – Delivering Service Quality and Managing Service Quality. . For complete listing of all workshops offered for Spring 2006, please visit ODT’s website at http://www.usf.edu/odt.
