Assessing the Applicant Pool

1. When an applicant submits his/her application or resume, a letter of acknowledgement should be sent routinely from the hiring department to the applicant by email or, if no email address is provided, by U.S. mail (see Application Acknowledgment in Exhibits/Forms).

The USF Application for Employment contains the Applicant Data Form (ADF). Information collected on the ADF is used by the Diversity & Equal Opportunity Office (DEO) only for the purpose of evaluating recruitment programs, monitoring and reporting in accordance with Executive Order 11246 and the State of Florida nondiscrimination regulations. Response is voluntary. Failure to complete the form will not subject an applicant to adverse treatment in employment consideration.

  • For Administration positions: if a USF Application for Employment was not received, the ADF should be included with the letter of acknowledgement and a request that the candidate complete the ADF and return it within ten (10) calendar days from the date the letter was sent.
     
  • For Staff positions: the ADF is included in the Application for Employment and does not need to be sent with the letter of acknowledgement.

Search committees (if utilized) and hiring managers do not see ADF forms. Completed ADF forms are removed from all Applications by the department contact/recruiter and given directly to the Unit Equal Opportunity Liaison (EOL) (see Roles and Responsibilities of the Unit Equal Opportunity Liaisons in the Exhibits/Forms section). 

2. The department contact/recruiter or Unit EOL completes the Recruitment Worksheet and compiles the information on the ADF’s for an analysis of the applicant pool.

3. The Unit EOL/designee certifies that the applicant pool is acceptable when there is evidence that the hiring department has made a good faith effort to compile a diverse applicant pool.

4. If the applicant pool is not acceptable, the hiring authority must re-advertise unless continuation of the selection process is approved by DEO. The Unit EOL will advise the hiring authority.
