Offer Letters and Employee Categories

To begin using RightStart@USF, contact your HR Representative in the HR Employment
Center.  He or she will work with you to ensure that your unique needs are met while
maintaining the streamlined processes.  When you are ready to appoint an employee through
RightStart@USF, follow these simple procedures:

1) After receiving approval to hire your selected candidate, you will need to provide a letter of offer. Select the appropriate letter of offer from the list below based on the type of appointment. If you are not sure which letter is the most appropriate contact your HR Representative for assistance. These letters are the official models for the University and are not intended to be modified.

2) Two originals should be generated so that both the new employee and the University have original copies. The letter should be sent to the employee with a copy of the List of Acceptable Documents for the I-9 (incorporated into each letter).
3) It is the Department’s responsibility to provide HR with a copy of the new hire’s offer letter before the RightStart appointment. Letters should be sent to your HR Representative at least 2 days before the employee’s start date. You may do so via:
  • Interoffice mail
  • Fax
  • Scanned attachment via email
4) Your HR Representative will create an employee record in GEMS within 2 business days and send you notification that includes the Employee ID number.  This will allow you to initiate your department's internal procedures such as requesting access to GEMS and the key card system.
