Campus Directory Updates

Updating Campus Mail Location, Telephone Number & Email Address in the USF OnLine Directory.

An Appointment Status Form (ASF) is not required when the only changes being made to an employee’s record are mail code and/or telephone number. After information is updated in GEMS, allow 24-48 hours for changes to be reflected in the online directory.

Telephone

Business telephone number changes can be made by sending an email to your Service Center Employment Representative. Include the following:

  • Name of Employee
  • GEMS Employee ID #
  • Effective Date
  • Telephone Number including Area Code

Home telephone number changes can be made by the employee through GEMS Self Service. Log into GEMS Self Service via the MyUSF Portal.

Mail

Campus mail location changes can be made by sending an email to your Service Center Employment Representative with the following information:

  • Name of Employee
  • GEMS Employee ID #
  • Effective Date
  • Campus Mail Building and Campus Mail Room (mail code). This is the employee’s campus mailing address assigned by the USF Post Office.
  • Campus Location Building and Campus Location Room. This is the employee’s physical work location.

Business Title/College Affiliation

Business Title and College Affiliation are derived from the GEMS appointment information. Changes to this information should be made by contacting your department HR representative.

Email

Campus email changes can be made through the “Manage NetID” application listed on MyUSF (my.usf.edu).  Just sign in with your USF NetID and select “Manage My NetID” in the header. On the page that opens, click “Select your Official USF E-mail Address” and use the drop down list to choose from your available USF email addresses.  

Human Resources cannot make corrections to employee email addresses. Information Technology (IT) uploads email address information into GEMS each night.  If you have problems updating your email address, contact the IT Help Desk at (813) 974-1222 or help@usf.edu.

Name/Address Change

The employee name stored in GEMS must match your social security card. Instructions for updating your name can be found on this form. The easiest way to change your address is by accessing GEMS Self Service. It is available 24/7 and you can log in on or off campus.
