Accessing Personnel Files

Personnel files are maintained by the Division of Human Resources and are housed on the Tampa campus in the HR Records Department and on the USF St. Petersburg campus in HR. Files may contain items such as applications, performance appraisals, changes in work assignments, and other information relating to employment at the university. Employees may review their file by contacting their Service Center to make an appointment (please provide at least 24 hours notice).

All university records are public records, including personnel files, and shall be made available upon reasonable request under the USF Public Records Policy and the State of Florida Sunshine Law. Records include home addresses, telephone numbers, education and employment information. There is a charge for copies.

Managers and supervisors requiring access to an employee’s personnel file for recruitment and/or performance issues should contact their Service Center to make an appointment (please provide at least 24 hours notice).

Department of Homeland Security Law Enforcement requests for access to personnel files should be forwarded to the Human Resources Records Department for authorization and credential verification.

Auditors’ requests to view personnel files should be forwarded to the Office of General Counsel.
