Approvals
All leaves of absence, with or without pay, must be
requested in writing by the employee and, if approved, documented in writing by
the supervisor. Some types of absences may be approved at the supervisor's
discretion while others are required to be granted.
Approved absences
result in an employee either being in non-pay, partial-pay, or full-pay status
on one or more pay periods. An employee is not required to exhaust all accrued
leave prior to being placed on a leave of absence without pay. However, the
supervisor may deny a request that the leave of absence be without pay if the
employee has accrued leave available, except when otherwise required by a
specific leave provision (i.e. Administrative Leave, Military Leave, Foster Care
Leave, Family and Medical Leave, and Parental Leave).

Accrual
During a leave of absence with pay, employees
continue to accrue annual and/or sick leave. Refer also to

Accruals-Annuals and Leave Accruals-Sick.
If an employee uses accrued leave during any leave of absence and he/she is a
member of the:
-
Florida Retirement System (FRS), creditable
service is awarded the employee for each month that he/she is in pay
status, regardless of the amount of gross pay received, or
-
Optional Retirement Program (ORP), the
employee's annuity account receives
contributions based on a percentage of gross pay.

Faculty
Absences
A Faculty member who is approved a leave of absence, with
or without pay, should discuss with the Chair of the department or Dean of the
college how the leave of absence will impact tenure.

Other Absences
Upon an employee's written request, a supervisor may grant the employee a leave
of absence for up to 12 consecutive months, provided the supervisor deems the
absence to be justified and it is not detrimental to the operations of the
University. In exceptional cases, the leave of absence may be extended beyond 12
consecutive months by the dean/director.

Unauthorized
Absences
Unauthorized absences result in the employee being ineligible to use accrued
leave and impacts
an employee's gross pay and accrual rate. Contact an Employee Relations
representative in Human Resources for additional information.
